Codification of the military assets is required by the NATO Codification System. It requires contractors/suppliers to provide each NATO member country data concerning items of supply to identify, classify and number the items. Offered services to ensure and perform activities related to codification process imply from requirements on Czech Republic Ministry of Defence suppliers realizing contract delivery, in case that codification requirement given by the Czech Republic Law 309/2000 Sb. and amendments is applied.

The process of codification realizes:

screening of items of supply in national (CZ-MCRL) and international - NATO (NMCRL) databases, i.e. existence of the item is checked in relevant databases and a Czech Catalogue Item Number (KCM) and a NATO Stock Number (NSN) is assigned, if necessary.

processing of Mandatory Data Set for Codification via form at www.cz-katalog.cz, as stated in Codification Contract Clause

processing of product codification data proposal in form of electronic transactions LCN (Request for codification including describing characteristics)

standard services related to codification process - NCAGE Request, authorization to representation etc.

additional services - besides standard services related to codification of products, the VR Group, a.s. Codification Agency offers overview of codification system, screening of your or other manufacturer’s products, reports from databases, database updates etc.

Output of codification process

The output of codification process is release of the positive Statement of Defence Standardization, Codification and Government Quality Assurance Authority, that declares the contractor complies with the customer’s requests related to the Codification Contract Clause.

Requirements on contractor

To ensure the codification process, the contractor has to provide the VR Group, a.s. Codification Agency with documentation and data needed to identification all codified items as stated in a contract. In case that drawing or other documentation cannot be provided, the contractor has to produce evidence for data correctness by another way.

Assurance of service quality

The VR Group, a.s. Codification Agency (VRG CA) processes a product codification data proposal according to Certificate of approval to process product codification data proposal issued by the Defence Standardization, Codification and Government Quality Assurance Authority (DSCGQAA) in 2005. Quality of services provided by VRG CA is supported by a quality management system according to the ISO 9001:2008 standard certified by Lloyd's Register Quality Assurance. Based on Certificate of approval to process product codification data proposal issued by the Slovak Republic’s Defence Standardization, Codification and Government Quality Assurance Authority in 2008, VRG CA can provide these services for contracts for the Slovak Republic Ministry of Defence. VR Group, a.s. is a juridical person that carries business according to Law 309/2000 Sb., Head III in an area of processing a product codification data proposal.
